Privacy Policy

The Head-Royce School (“School”) is committed to protecting your privacy. This Privacy Statement applies to the School’s web site and Internet facilities, including without limitation, the School’s email services and on-line enrollment and related information in-take forms and authorizations. This Privacy Statement governs data collection, use and sharing of personally identifiable information. By using the School’s web site and Internet facilities, you consent to the data practices described in this Privacy Statement for yourself, and for your minor student, if you are a student’s parent, legal guardian, or authorized caretaker.

Collection of your Personal Information

The School collects personally identifiable information, including but not limited to: (1) first and last names; (2) home or other physical addresses; (3) email addresses; (4) telephone numbers; (5) social security numbers; (6) information contained in emails and texts; (7) test results, evaluations, grades, educational and disciplinary records; (8) health, medical, and insurance information; (9) biometric data; (10) information about disabilities; (11) socioeconomic and financial information; (12) special education data; (11) juvenile dependency records; and (12) electronic or digital messages, recordings, documents, and photos .

A registered user of the School’s web site or Internet facilities may review, request changes to or removal of personally identifiable information maintained by the School by using one of the Contact addresses shown at the end of this Privacy Statement. Requests for removal of personally identifiable information do not ensure complete or comprehensive removal of content or information, particularly where it: (1) must be maintained by law; (2) was obtained from sources other than the registered user; or (3) is not visible to other users and the public, even if it remains on the School’s servers or Internet facilities in some form. We strive to respond to such requests within 30 days.

The School also collects anonymous demographic information, which is not unique to you or your student, such as preferences and interests. There is also information about user computer hardware and software that is automatically collected by the School. This information can include: IP addresses, browser types, domain names, access times and referring Web site addresses.

What do we use your information for?

The email addresses may be used to transmit information to you or your student, respond to inquiries, and/or other requests or questions. We use personally identifiable information pertaining to you and your student in furtherance of the School’s K-12 purposes. We may provide all or part of the personally identifiable information described above to third parties in circumstances where we believe that doing so is necessary or appropriate to: satisfy any applicable law, regulation, legal process or lawful governmental request; detect, prevent or otherwise address fraud, security or technical issues; or protect the rights, property or safety of us, our users or others.

The School publishes nine print publications each year for distribution within the greater School community, including alumni, family, friends and donors. Photographs of students identified with first and last names may be featured in these publications. In addition, the School may publish digital or electronic photographs or video on the School’s web site (which will be identified only with student first names). In consideration of enrollment, parents, guardians, and students over age 18 grant the School the irrevocable right to take, use, and publish photos and videos of themselves and their student(s), unless a parent, guardian, or student over age 18 gives written notice to the School prior to publication by using one of the Contact addresses shown at the end of this Privacy Statement, and as to print publications, such written notice must be delivered prior to the applicable publication deadlines.

Security

We take reasonable precautions to protect personally identifiable information collected by the School against unauthorized access and illegal use or disclosure. The School’s contract service providers for the School’s web site and Internet facilities follow generally accepted standards, security practices and procedures and are not authorized to access, use, or disclose covered information for any purpose other than providing web site and Internet services to the School.

The School is not responsible for information contained in posts made by users in on-line forums or comment areas, blogs, or other publicly accessible areas of the School’s website or Internet facilities.

Cookies

Cookies are small files that are stored on your computer. We use cookies to understand and save your preferences for future visits and compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future. Cookies may be set by an organization other than the School. These “third-party cookies” may, for example, originate from websites such as YouTube, Twitter, Facebook, Google Plus or other social media services for which the School has implemented “plug-ins” for its web site and Internet facilities. Since the cookie policies of these other sites change over time, you should determine their policies by examining the privacy policy pages of these other sites.

You may disable cookies through your individual browser options.

We may also collect non-personally identifiable information about the computer, mobile device or other devices used to access the School’s web site and Internet facilities, such as IP address, geolocation information, unique device identifiers, browser type, browser language or other information of this nature. We use this information in an aggregate fashion to track access to Headroyce.org. At no time do we disclose site usage by individual IP addresses. Web server logs are retained on a temporary basis and then deleted from our systems.

Our site may include hyperlinks to websites maintained or controlled by others. The School is not responsible for and does not routinely screen, approve, review or endorse the contents of or use of any of the products or services that may be offered at these other websites. The School does not warrant, and hereby disclaims any warranties, either express or implied, with respect to the accuracy, adequacy or completeness of any site, information obtained from a site, or link to a site. The School does not warrant that sites will operate in an uninterrupted or error-free manner or that sites are free of viruses or other harmful components. Use of information obtained from or through these sites is at your own risk.

Email Policy

We will not share, sell or authorize any third party to use your email address for commercial purposes without your permission. If you send us email messages, you should be aware that information disclosed in email may not be secure or encrypted and thus may be accessible by others. We suggest that you exercise caution when deciding to disclose any personal or confidential information in email. We will use your email address to respond directly to your questions or comments.

Service Marks, Trade Name, etc.

The logo, name and all graphics or original content used on or in the School’s web site and Internet facilities are the service marks, trade name, trademarks, Copyrighted material, or other intellectual property of the School. Use, reproduction, copying or redistribution of such marks, name, Copyrighted material, or intellectual property without the written permission of the Head of the School is prohibited. All other marks, names, etc. appearing on the School’s web site are the property of their respective owners.

Your Account

If you use the School’s web site and Internet facilities, you are responsible for maintaining the confidentiality of your account and password, if any, and for restricting access to your computer. You agree to accept responsibility for all activities that occur under your account and password. If you are under 18, you may purchase products or services only through a parent or guardian. You agree that billing and registration information you provide on the site will be accurate and complete. The School reserves the right to refuse service, terminate accounts, remove or edit content, or cancel orders in the School’s sole discretion.

Changes to this Statement

The School will periodically update and change this Privacy Statement and reserves the right to make changes without prior notice. The School notifies users of changes by modification of this Privacy Statement. The School encourages you to periodically review the Privacy Statement to be informed of updates and changes.
